Training Department Coordinator

We are a rapidly expanding, innovative financial services organization seeking to add a top-flight Training Department Coordinator with some Executive Assistant responsibilities to our team. We are seeking someone who reports to our Training Department Project Manager and supports the training team in a wide range of responsibilities. This dual role will require someone with high intellect, passionate desire to be organized, even-tempered demeanor, and extreme ability to deal with a fast-paced, ever changing project workload. This person is required to work within a dynamic team, which is constructed of a group of decentralized workers scattered across the US.

He or she will have experience in working with Subject Matter Experts to collect data, helping deliver data points to Instructional Designers, and have the ability to prioritize tasks and manage multiple tasks simultaneously. Additionally, experience with cloud-based applications and virtual meeting environments and proficiency in MS Office Suite (high-level) and Adobe Acrobat Pro or higher are required. This unique person must be able to manage stressful situations and have experience with executive level personalities.

He or she demonstrates the ability to fact find, diagnose problems in training processes, evaluate broken systems, and document processes, step by step. This person will have a high level of verbal and written communication skills and a sincere interest in personal continuous improvement, as that is the mantra of the training division.

He or she will have a proven ability to independently manage multiple projects and responsibilities with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, handle frequent interruptions in work flow, and organize and maintain administrative processes. Must be able to maintain strict confidentiality of corporate information.

RESPONSIBILITIES

Project Management (25% of time)

Track all aspects of training initiatives across the organization

o Inventory tasks in support of training initiatives

o Track status of tasks and communicate to training team

o Follow up on outstanding items in need of completion

o Assist training team in adhering to timelines to ensure timely delivery of training initiatives

o Track status of progression of documents through compliance department

Maintain tracking systems to ensure data remains fresh and relevant

Communicate change management and versioning of training materials to third-party instructional design company to maintain IP continuity

o Maintain change logs for various documents, presentations, processes, etc.

Training Event Coordination (15% of time)

Assist with creating and organizing task lists and agendas for events and preparation

o Document tasks and progress of said tasks necessary for training team to complete in preparation for various training events

o Assist with creating agendas for various training events, based on content of events and direction from training team

Work with A/V professionals at main company events to ensure technology and training are ready for delivery

Set up and run technology for training and recruiting events when needed

Technical Management (10% of time)

Preparation and review of presentations and materials for training and recruiting events (both with presenters and independently for transitions, animations, font verifications, accuracy, etc.)

Administrative Duties (50% of time)

Provide internal support to Chief Learning Officer (CLO) and Training Manager on initiatives and projects while CLO/Training Manager is working inside the office and remotely

Screen, schedule, and prioritize requests and appointments for CLO and training team

Maintain CLO's and learning team's calendars by coordinating and arranging various types of meetings, calls, and travel on an as-needed and ongoing basis

Update and maintain Learning Management Systems and partners training web site

Answer, address, and direct inquiries to appropriate parties

Other duties as assigned

o Assist with document and presentation updates and creation

o Update/create PowerPoint presentations

o Update/create Word, Excel, and PDF documents

o Request approval on document, process, and presentation creation/updates

o Communicate change requests from company stakeholders to training team

o Sort receipts and submit expense reports

o Coordinate and book incoming and outgoing travel arrangements (flights, hotels, ground transportation) as needed, and communicate with involved parties

o General office support

Desired Skills and Experience

Bachelor's degree in Business, Learning or related work experience

Minimum 3-5 years of experience working in a multi-project environment and administrative support position (Consulting or Training industry experience a plus)

High level of experience in supporting executives in a fast-paced environment

Technologically savvy

Excellent computer, cloud, and training software skills

o Microsoft Office Suite, specifically expertise in PowerPoint

o Articulate, Captivate, SCORM or similar experience

o Project management software

o Document collaboration software with version controls

o Google Apps and Outlook experience a plus

o Online meeting tools like Gotomeeting, Webex, or similar

o Docusign, EchoSign or similar

o Learning Management System (LMS)

Proficient working with spreadsheets, word processing, and graphic presentation software

Experience in formatting PowerPoints for Instructional Design and the ability to collaborate with Instructional Designers to get work completed

High-level written and verbal communication skills

Strong decision making ability

Demonstrates strong attention to detail and time management skills, with ability to work in a demanding, fast-paced environment without supervision

Ability to prioritize and deliver on multiple projects simultaneously with varying stakeholders and executive champions

2 weeks of corporate travel per year

Must be comfortable with multi-tasking, able to manage multi-step procedures, handle frequent interruptions in work flow, and able to prioritize in a fast-paced environment
